exhibition stand rental: how it works.

The rental covers the full structure of the appearance: walls from the Octanorm system, a reception counter, lighting and, where needed, a platform or showcases. The elements come from the same modular system we sell, so a rented stand looks and stands exactly like a purchased one.

Alongside the structure, the rental normally includes transport to the hall, build-up before opening and dismantling after the fair closes. A rented Octanorm stand carries your graphics and colours, so on the fair floor it looks no different from one you own: the difference is who builds, dismantles and stores it.

A rental starts with an inquiry carrying three facts: the floor plan or size of the space, the date and venue of the fair, and the goal of the appearance (product launch, meetings, tastings). Based on that you receive a layout proposal with a list of elements and the rental price.

After confirmation you send the print-ready graphic files; graphics production and equipment preparation run without you. The crew builds the stand in the hall before opening and hands it over ready; after the fair closes, the same crew dismantles and removes the equipment. Your part of the job remains the content and the people on the stand.

A modular rental stand is ordered two to four weeks before the fair; allow more for larger layouts or dates when several fairs run back to back. Space in the hall is booked with the organiser much earlier, because the best positions go months before opening.

Alongside the stand itself, the deadlines also carry the electricity connection order with the organiser, the preparation of graphic files and any extras such as screens or showcases. The safest approach is to plan every deadline backwards from opening day.

For exhibitors coming from abroad, renting locally replaces trucking equipment across borders: only the graphic files and your team travel. We build rented stands at the fairgrounds of the region, from Ljubljana and Zagreb to Belgrade and Novi Sad, with the same system and the same crew.

The busiest rental dates follow the regional calendars: Ambienta in Zagreb (1 to 4 October 2026), the Belgrade furniture fair (12 to 16 November 2026) and EXPO 2027 Belgrade (15 May to 15 August 2027). The rental price is driven by the size of the space, the number and type of elements (walls, counter, lighting, platform), the graphics area and the distance and date of the build-up. That is why rentals are quoted per appearance rather than by a per-square-metre price list; the cost guide maps the budget of a whole appearance.

For one appearance a year, renting is usually the best deal. Exhibiting two or three times a year quickly reaches the point where buying your own Octanorm equipment pays off; the rent-or-buy guide runs that comparison in numbers. A common path is hybrid: rent the first appearance, then buy the equipment once the concept is proven and reuse it fair after fair.
